Which timesheet template to use

  • Weekly — one employee, one week, start and end time and a break in minutes. The most common format for hourly jobs.
  • Weekly with lunch — four punches a day for jobs that clock out for lunch.
  • Biweekly — two weeks on one page for employers who pay every other week. Overtime is still counted for each week.
  • Monthly — every day of the month for contractors, volunteers and monthly payroll.
  • Team — hours per day for up to 12 people on one sheet, for crews and small businesses.

How to fill out a paper timesheet

  1. Write the employee name and the pay period at the top.
  2. For each day, write the time in and time out, and the unpaid break.
  3. Work out the hours for each day and add them up; hours over 40 in a week are overtime.
  4. Sign and date it, and have the supervisor sign.

Timesheet template questions

Are these timesheet templates free?

Yes. Download as many PDF and Excel timesheets as you like, for personal or business use, with no sign-up. You can add your company name, the employee and the dates before downloading.

Does the Excel timesheet calculate hours automatically?

Yes. Type times like 8:00 AM or 17:30 and the break in minutes; each day’s hours, the weekly total, regular and overtime hours are calculated. Enter the hourly rate to get gross pay. Shifts past midnight are handled too.

How do I use the timesheet in Google Sheets?

Download the Excel file, open Google Drive, choose New → File upload, then open the file with Google Sheets. The formulas keep working. To reuse it, make a copy for each week.

What should a timesheet include?

The employee’s name, the pay period, the date and start and end time of each shift, unpaid breaks, total hours per day and per week, overtime hours, and signatures of the employee and the supervisor. Federal rules require employers to keep records of hours worked each workday and workweek.

Can I fill in the timesheet online instead of printing it?

Yes. The time card calculator on this site works like a timesheet you fill in on screen: it adds up hours and overtime as you type and creates a PDF with signature lines when you are done.
