How to calculate hours between two times

  1. Write both times in 24-hour format: 8:45 AM is 8:45, 5:15 PM is 17:15.
  2. Subtract the start time from the end time. Borrow 60 minutes from the hours if the minutes go negative.
  3. If the result is negative, the time range crosses midnight: add 24 hours.
  4. Subtract any unpaid break.
  5. For payroll, convert to decimal hours: divide the minutes by 60.
Hours = End time − Start time (+ 24 h if the end is the next day)
Decimal hours = Hours + Minutes ÷ 60

Example

A shift from 8:45 AM to 5:15 PM: 17:15 − 8:45 = 8 hours 30 minutes. 30 ÷ 60 = 0.5, so that is 8.5 hours. With a 30-minute unpaid lunch, 8 hours of paid time.

Overnight example

10:30 PM to 6:15 AM: 6:15 − 22:30 = −16:15. Add 24 hours: 7 hours 45 minutes, or 7.75 hours.

Hours calculator questions

How do I calculate hours between two times?

Write both times in 24-hour format and subtract the start from the end. If the result is negative, the shift ends the next day, so add 24 hours. Then divide the minutes by 60 to get decimal hours. Example: 8:45 AM to 5:15 PM is 17:15 − 8:45 = 8 hours 30 minutes, or 8.5 hours.
